  • ADMISSIONS ADMINISTRATIVE ASSISTANT & RECEPTIONIST

    GENERAL INFORMATION 
    The Barstow School seeks to hire a full-time, year-round Admissions Administrative Assistant and Receptionist.  The admissions assistant and front desk manager is the first point of contact for families inquiring about the school as well as the first and last point of contact for visitors. First impressions are crucial and it’s important this role helps foster a welcoming and inclusive environment and contributes to an efficient and family-centered admissions process.

    The primary responsibilities of the Admissions Administrative Assistant are:
    •    Manage admissions data including inquiry data, spreadsheets and reporting, applicant files and related data, enrollment data, board reporting, etc.  The admissions assistant will retrieve, input, analyze, and report on all admissions data and synthesize information to increase efficiency and conversion rates. 
    •    Schedule events for the admissions office such as tours, visits, Open Houses, and other admissions events. 
    •    Manage short term and long-term admissions calendars for the office and proactively plan ahead to optimize events’ reach, effectiveness, attendance, etc. 
    •    Registrar duties, assist families when records must be sent out. 
    •    Other admissions duties as assigned.

    The primary responsibilities of the Receptionist are:
    •    Welcome all visitors to campus professionally and with enthusiasm;
    •    Ensure that all visitors adhere to safety protocols by monitoring front door entry system, and registering each guest in the visitor log;
    •    Answer all phone calls and connecting callers with the right department within the school;
    •    Manage the mail process for the school. 
    Essential Job Functions:
    •    Keep the Admissions office current with all inquiries and maintain organization for applicant families and events.
    •    Answer the telephone within the third ring and respond to inquiries about school activities or forward to the appropriate party;
    •    Greet visitors, sign in or out outside visitors and maintain security log;
    •    Prepare outgoing mail daily, sort incoming mail daily, manage the mail equipment, provide supplies and instructions for Fed Ex and UPS, prepare international mailings as needed;
    •    Assist visitor check in for events;
    •    Keep the reception and lobby areas orderly.

    EDUCATION, EXPERIENCE & QUALIFICATIONS 
    The ideal candidate for this position will possess a Bachelor’s degree and previous experience in customer service and/or educational institution.

  • BUSINESS OFFICE SPECIALIST

    GENERAL INFORMATION 
    •    The primary responsibility of this position is to support the administration of payroll and benefits for our employees and to be our HRIS expert.
    •    Secondly, this position enters invoices for payment into the general ledger system weekly and mails payments to vendors.
    •    This position assists with purchasing.
    •    Finally, this position is responsible for the integrity of all paper documentation for all Business Office functions.  
    Supervision:   This position will not have any supervision responsibilities.  The position will take direction from other team members depending on the tasks at hand.  The position will report to the Payroll and Benefits Manager.

    Essential Job Functions:
    I.    H.R. duties:
    •    On-board Summer at Barstow employees
    •    Assist the Payroll and Benefits Manager with various duties including but not limited to:
    i.    Semi-monthly payroll processing
    ii.    Benefits open enrollment and changes
    iii.    ACA compliance
    •    Be the expert on both HRIS systems:  Paylocity for payroll and Employee Navigator for benefits
    •    Serve as compliance officer for mandated notifications to employees, in accordance with State and Federal laws

    II.    Accounting duties, under the direction of the Controller:
    •    Reconcile benefits’ invoices to payroll using excel
    •    Enter payables into accounts payable system at least weekly
    •    Match checks from weekly check run to source documentation for signature
    •    Prepare payments to be mailed after obtaining signatures

    III.    Documentation duties:
    •    File Management - Ensures Human Resources files and accounts payable records are kept updated.

    IV.    Other duties as assigned

    Job Requirements: 
    •    Minimum of three years’ related experience and/or training in payroll processing and benefit administration.
    •    Knowledge of commonly-used HR concepts, practices and procedures including State and Federal employment laws 
    •    Experience with Microsoft Word and Excel
    •    High level of integrity and ability to maintain strict confidentiality of information handled
    •    Detail oriented
    •    Ability to work independently with a high degree of accuracy, thoroughness, and professionalism
    •    Must have strong communication and exemplary customer service skills.

    Preferred Qualifications
    •    Associates degree in business or other related field or equivalent combination of education and experience

    The Barstow School's before and after school program seeks high-energy employees for the 2020-2021 school year. Extended Care if offered from 7-8 a.m. and 2:45-6 p.m. and serves students in preschool-grade 8.     The Barstow School is seeking to hire a School Counselor to provide a full range of counseling services to students grades PS-12.  The qualified candidate will:
    •    Work with students to attain an optimum level of personal and social adjustment within the classroom and individually.
    •    Provide individual counseling and group sessions to help students cope effectively with personal, social, academic, and family concerns.
    •    Identify students with special needs and make appropriate recommendations and referrals.
    •    Implement an effective referral and follow-up process.
    •    Work with grade level deans, and Middle and Lower School teachers to organize and implement grade advisee programs. 
    •    Coordinate the Services for Students with Disabilities for the College Board (AP, PSAT, SAT) and ACT tests.
